The Company's Platforms, products, and services are intended for general informational and business purposes only, including document preparation, workflow support, and AI-enabled drafting and review tools that may be used in legal, business, administrative, health, or wellness-related contexts. The Company does not provide medical care, medical advice, diagnosis, or treatment, does not practice medicine, and does not provide professional services as a healthcare provider, law firm, or licensed professional advisor. No doctor-patient, provider-patient, attorney-client, or other fiduciary or professional relationship is created, intended, or implied between you and the Company by your use of the Platforms, submission of information, or reliance on any content or communications.
You should not submit, upload, or transmit highly sensitive information through the Platforms unless it is reasonably necessary for your intended use of the services and you understand the risks of doing so. This includes clinical records, treatment histories, bloodwork, laboratory reports, other medical-context materials, medication information, supplement information, insurance information, government-issued identification numbers, financial account information, and other sensitive personal information. The Platforms are not designed or intended to serve as an electronic medical record, clinical communication tool, or HIPAA-compliant repository unless we expressly state otherwise in writing. If you choose to submit health-related or wellness-related information to us, including bloodwork, laboratory reports, medical-context materials, medication information, supplement information, symptoms, treatment history, or other sensitive information contained in prompts, uploaded files, forms, questionnaires, questions, answers, or generated outputs, we may collect, use, store, analyze, and otherwise process that information to provide, operate, maintain, secure, troubleshoot, and improve the Platforms and the services you request, including account-based features, AI-assisted summaries and reports, and interactive question-and-answer functionality. Such processing may include use of artificial intelligence models, automated tools, analytics systems, and specialized service providers acting on our behalf, subject to applicable law, contractual restrictions, and product-specific terms. We treat such information as sensitive personal information under this privacy policy and apply heightened safeguards designed to protect it, including encryption, access controls, role-based limitations, limited disclosure, and other reasonable administrative, technical, and physical protections. We will obtain your affirmative consent before collecting or processing sensitive data where required by applicable law. Where such consent is required, it will be obtained through an explicit in-product prompt, disclosure, or opt-in mechanism presented to you at or before the time of collection or processing, such as a checkbox, consent banner, or written acknowledgment, as appropriate to the nature of the data and the requirements of applicable law. We do not control third parties' collection or use of your information to serve analytics or interest-based advertising. However, these third parties may provide you with ways to choose not to have your information collected or used in this way. You can opt out of receiving targeted ads from members of the Network Advertising Initiative ("NAI") on the NAI's website and from members of the Digital Advertising Alliance ("DAA") at www.aboutads.info/choices. To opt out of third-party marketing disclosures described in the "Disclosure of Your Information" section above, please contact us at privacy@prepdoc.ai or follow the unsubscribe or opt-out instructions in any marketing communication you receive from us. Do Not Track and Global Privacy Control: Some web browsers and devices may transmit "Do Not Track" ("DNT") signals. We currently do not alter our data collection and use practices in response to DNT signals. However, where required by applicable law, we will honor opt-out preference signals transmitted through a Global Privacy Control ("GPC"). If you are a California resident or a resident of another state that requires us to honor GPC signals, we will treat a valid GPC signal as a request to opt out of the sale or sharing of your personal information.

State consumer privacy laws may provide their residents with additional rights regarding our use of their personal information. To exercise these rights, please submit a verifiable request to us at privacy@prepdoc.ai with the subject line "Privacy Rights Request" and a description of the right you wish to exercise. We will respond to your request within the timeframes required by applicable state law, typically within 45 days of receipt, with a possible extension of up to an additional 45 days where reasonably necessary, in which case we will notify you of the extension and the reason within the initial 45-day period. You have the right to appeal any denial of your request. To submit an appeal, contact us at privacy@prepdoc.ai with the subject line "Privacy Rights Appeal" within a reasonable period after receiving our denial. We will respond to your appeal within 60 days of receipt, or within such other period as required by applicable state law, and will inform you of any further appeal rights available to you. We have implemented reasonable administrative, technical, and physical security measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. These measures include encryption of data in transit and at rest, access controls, employee and contractor training, logging and monitoring, vendor diligence, periodic security assessments, and safeguards designed to protect account credentials, uploaded files, payment-related interactions. However, no security measures are perfect or impenetrable.
The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Platforms, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.
Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Platforms. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Platforms.
We retain personal information for as long as reasonably necessary to fulfill the purposes for which we collected it, including to provide the Platforms and services you request, maintain your account, store and process uploaded information, generate and deliver AI-assisted reports and responses, process payments and subscriptions, comply with legal obligations, resolve disputes, enforce our agreements, support security and fraud-prevention efforts, perform analytics, and improve our services. Retention periods may vary depending on the type of information, the sensitivity of the information, the nature of our relationship with you, and applicable legal, tax, accounting, and regulatory requirements. We apply heightened deletion standards to sensitive personal information, including health and wellness information, bloodwork, medical-context materials, medication information, and supplement information, and will not retain such information longer than necessary for the purpose for which it was collected, unless otherwise required by applicable law. We may retain deidentified or aggregated information for longer periods where permitted by law.
